The Student Accommodation Association Incorporated (SAA) is committed to a culture that protects privacy and endeavours to maintain the accuracy, confidentiality and security of personal information that it collects. This Privacy Policy describes the way in which SAA handles personal information and how you can contact us if you require further information.

This Privacy Policy outlines the personal information collected by SAA, including the personal information of:

a. individuals who seek to be, are, or were employed by SAA or appointed to SAA’s Board of Directors (collectively, an "employee");

b. organisations or individuals that seek to be, are, or were members of SAA (collectively, a “member”); and

c. other businesses, entities, agents, contractors, suppliers or other persons who have dealings with SAA.

This Privacy Policy applies to the information systems SAA utilise as part of the day to day business activities and the content contained with these.

Personal Information

What is Personal Information?

For the purposes of this Privacy Policy, personal information is any information about an identified or identifiable individual. Personal information does not include anonymous or non-personal information (i.e., information that cannot be associated with or tracked back to a specific individual) or the information of current or former employees which forms part of their employment record.

What Personal Information Do We Collect?

We may collect and hold personal information about former, current and prospective employees, our members, contractors, suppliers and other people who SAA comes into contact with.

The type of personal information collected will depend on the person's specific dealings with the SAA, but may generally include:

  • identity information (e.g. your name, image, age or date of birth);
  • contact information (e.g. your address, email or telephone number); and
  • information about your dealings with us (e.g. your membership login, the products or services you obtain from us, any personal information provided by you as part of your membership application or property accreditation application, events you register for etc.).

For employees and prospective employees, we may collect and maintain different types of personal information including:

  • resumes and/or applications;
  • references and interview notes;
  • photographs and video;
  • letters of offer and acceptance of employment;
  • payroll information; including but not limited to tax file number, pay bank deposit information, and superannuation information;
  • wage and benefit information;
  • forms relating to the application for, or in respect of changes to, welfare benefits; including, short and long-term disability, medical; and
  • beneficiary and emergency contact information.

As a general rule, SAA collects personal information about you directly from you, where reasonable and practicable to do so (e.g. in person, or by telephone or through written information or forms that you submit to us). From time to time and in limited circumstances, we may collect personal information from a third party (e.g. service providers or publicly available sources).

Where permitted or required by applicable law or regulatory requirements, we may collect information about you without your knowledge or consent.

How Do We Use and Disclose Your Personal Information?

Generally, we will only use and disclose personal information that you provide to us for the following purposes:

  • to provide our products and services to you;
  • to assess your membership application or property accreditation application;
  • to manage your membership and accreditation with us;
  • to respond to enquiries and provide you with any information that you have requested;
  • to provide news, updates and information about our products and services;
  • to conduct general administrative, business and management functions; and
  • to provide the information to third parties (such as our agents, contractors and suppliers) for the above purposes.

If you do not wish to receive any marketing or promotional materials from us (e.g. updates and information about our products and services), please contact us per the details provided at the bottom of this Policy. You can also opt-out of receiving any marketing or promotional materials from us at any time by contacting us per the details below or by using the opt-out mechanism provided in each promotional or marketing email.

Personal information may also be disclosed:

  • as permitted or required by applicable law or regulatory requirements; and
  • in the event of a change in ownership of, or a grant of a security interest in, all or a part of SAA through, for example, an asset or share sale, or some other form of business combination, merger or joint venture.

How is Personal Information Protected?

SAA uses reasonable endeavours to maintain physical, technical and procedural safeguards that are appropriate to the sensitivity of the personal information in question. These safeguards are designed to protect personal information from loss and unauthorized access, copying, use, modification or disclosure.

Updating Your Personal Information

It is important that the information contained in our records is both accurate and current. If your personal information happens to change, you are encouraged to inform SAA of such changes.

In some circumstances we may not agree with an individual’s request to change their personal information and will instead append an alternative text to the record in question.

Use of our website

SAA may collect, record and analyse information about visitors to its website. Our servers may record the following information about use of the SAA website for statistical purposes:

  • the user's server (IP) address
  • the location details such as longitude, latitude, city, region and country
  • the date and time of visit to the site
  • the top level domain name
  • the pages accessed and documents downloaded
  • the number of bytes transmitted and received for each request
  • the previous site or page visited
  • search terms used
  • the type of browser used.

SAA may examine this information to determine the traffic through the server and to specific pages or applications. In order to deliver better services, we also perform statistical analysis to establish priorities and allocate resources.

No attempt will be made to identify users or their browsing activities except in the unlikely event of an investigation, where a law enforcement agency may exercise a warrant to inspect server logs. The statistics and log files may be preserved indefinitely and used at any time and in any way necessary to prevent security breaches and to ensure the integrity of the information supplied by the website.

SAA uses first-party cookies to obtain session details for access to parts of our sites and communications. Cookie information is not stored or collected by SAA.

In addition to web server logs, we use web analytic services (Analysts) such as Google Analytics - provided by Google Inc. ("Google"). Reports obtained from Analysts are used to help improve the efficiency and usability of this website. By using our website, visitors consent to the processing of their data by Google in the manner prescribed by Google’s Privacy Policy and for the purpose set out above. Website users can opt out of Google Analytics if they disable cookies, JavaScript, or use the opt-out service provided by Google.

Third Party Websites

SAA utilises the electronic payment gateways for processing all payments made to SAA via the SAA website. Prior to using this payment method, it is suggested that you read the privacy policy linked to the electronic gateway at time of transaction.

By using SAA's social media pages, the user is using an external site and are therefore bound by the privacy principles of the relevant site. We encourage users to review the privacy policies of that site for further information. SAA does not endorse, and is not accountable for, any views expressed by third parties using that site.

Retention and Deletion

SAA will not retain data longer than is necessary to fulfil the purposes for which it was collected or as required by applicable laws or regulations. For members data, members with an active account will have the responsibility to delete and or update data when required by contacting SAA Privacy Officer.
